DiVE KS Booking, Refund, and Program Policies

Online Booking Fee Disclosure:

A 6% booking fee is paid to FareHarbor at the time of your online booking checkout. You may call or email to book direct if preferred.

Full payment:

Full payment is due at the time of all bookings. Since we do not overbook our courses and specialize in semi-private groups we enforce a no refund policy to maintain a high level of personalization. While instructional services/programs are non-refundable, we allow transfers under specific guidelines. 

24-Hour Invoice & Course Reservation Policy:

Course dates are not reserved until enrollment has been confirmed through payment within 24 hours of receiving tuition enrollment invoice. Invoices are issued based on the schedule and dates discussed and are valid for 24 hours from the time they are sent.

If payment is not completed within the 24-hour invoice period, please contact us to confirm course date availability before submitting payment, as the originally discussed course dates are no longer guaranteed and may have been released for other students.

All Instructional Programs and Services Are Non-Refundable:
Fees for our scuba diving programs and services are non-refundable. Once paid, course fees cannot be refunded. It is recommended that, prior to enrolling in any program, you verify you are medically fit or cleared for scuba diving activities. The student medical statement can always be found here

Student Medical Statement 

  • A Student Medical Statement is required for all PADI scuba diving programs. This form is available for viewing at all times, both on our website and on PADI’s official site, no enrollment is required to access it.

  • Please review the form thoroughly and entirely before enrolling in any program, this is for your safety.​​ In some cases, the form will require a licensed medical provider’s written clearance before participation in any in-water training. If you enroll and then find that you are unable to obtain medical clearance, you will be ineligible to continue training, and no refund(s) will be issued. There are no exceptions, and it is the student’s responsibility to:

  • Review the form in advance

  • Obtain physician clearance if required

  • Understand that enrollment is non-refundable once submitted, even if medical clearance is denied.

​​​We strongly encourage all prospective students to consult their healthcare provider with any concerns prior to enrolling. You can view, access, and download The Student Medical Statement (also known as Required Diver Medical Participant Questionnaire) here.

Medical Statement Accuracy:

All students are required to complete the Diver Medical Participant Questionnaire truthfully and to the best of their knowledge. If it is brought to the attention of DiVE KS, or later discovered, that a student's medical statement was completed inaccurately or untruthfully, DiVE KS and its representatives reserve the right to remove the student from the program at any time. In such cases, no refunds will be issued, and additional fees may apply if the student is eligible to reschedule after providing any required forms.

This policy is in place to protect the health and safety of the student, instructors, dive professionals, and all other participants throughout the duration of the training program.

 

Changes in Medical Status:

If a student develops, experiences, or discloses a new or previously unknown medical condition or medical episode at any time during the training program, the instructors and representatives of DiVE KS reserve the right to temporarily suspend the student's participation and progression in the program until a completed and signed Diver Medical Participant Questionnaire and/or a physician's medical clearance, if required, is provided confirming the student is medically fit to participate in scuba diving activities. This policy is in place to protect the health and safety of the student, instructors, dive professionals, and all other participants throughout the duration of the training program.

Student Conduct and Right of Removal:

We are committed to providing a safe, respectful, and positive learning environment for all students, instructors, staff, and guests. Students are expected to conduct themselves in a professional and respectful manner at all times during training, both in and out of the water.

We reserve the right to refuse service, deny participation, or remove any student from a course or program at our sole discretion if their behavior is deemed unsafe, disruptive, inappropriate, abusive, threatening, or otherwise interferes with the safety, learning experience, or well-being of others. This includes, but is not limited to, harassment, intoxication or impairment, failure to follow instructor directions, repeated disregard for safety protocols, damage to property or equipment, or any conduct that compromises the integrity of the training program.

Any student removed from a course due to conduct or safety concerns may forfeit course fees, certification eligibility, and any future participation, unless otherwise determined by management. Refunds or credits, if any, will be issued solely at the discretion of the dive center.

Preparedness:
Students are expected to arrive fully prepared for each session. This includes completing all assigned eLearning materials in advance, arriving on time, and bringing all required personal gear. Failure to meet these requirements will result in rescheduling of the session. 

Rental Gear:

Specified rental equipment is provided at no additional cost as part of specific programs. This includes but is not limited to equipment such as wetsuits, hoods, gloves, and buoyancy control devices (BCDs),  subject to available stock sizing. If a student requires equipment outside of our available stock sizing, they will be responsible for sourcing/buying properly fitting items. We are happy to provide a sizing guide upon request to assist in this process.

Stolen, Broken, Lost, Misplaced, Rental Gear:

Students are expected to properly care for all rental equipment while it is in their possession and to return it by the designated return date in the same condition in which it was issued, allowing only for normal wear and tear resulting from proper use.

Any rental equipment that is lost, misplaced, stolen, damaged, broken, chipped, torn, excessively dirty, or otherwise not returned in its original serviceable condition will be the financial responsibility of the student. If equipment requires repair, extraordinary cleaning, or replacement due to damage, neglect, misuse, loss, theft, or failure to return the equipment, the student will be responsible for the full cost of the necessary repair or replacement, as determined by the dive center.

Rescheduling:
To reschedule a pool session or ocean session, 48 hours’ notice is required. You will be placed into the next available group class if you need to reschedule. Failure to provide 48 hours’ notice will result in rescheduling fees. Pool Sessions : Pool fee: $60 per hour of scheduled pool time + Instructor fee: $200 | Ocean Sessions: $212 rescheduling fee per outing.

No-Shows:
Less than 24 hours’ notice is considered a no-show in addition to not showing up for your scheduled class. No-shows forfeit the program tuition for that segment of the program. To continue training after a no-show, a new program tuition is required. It is your responsibility to arrive on time and we reserve the right to start on time (15 minutes after scheduled course start time). There will be no refunds given for guests that are more than 15 minutes late or that do not arrive for their intended course.

Student Minimums:

A minimum of 3 divers is required for a scheduled group class to run on Open Water Diver Programs, Advanced Open Water Diver Programs, and Discover Scuba Programs. If the minimum enrollment is not met, students will have the option to continue with the class as a private session for an additional fee or they will be scheduled into the next available group class. 

Training Standards & Completion Policy
All training is performance-based to ensure safety, confidence, and mastery of skills. Class durations are approximate, as all courses are taught progressively. All training is performance-based to ensure safety, confidence, and mastery of skills. Actual class duration times may be shorter or longer depending on individual progress.

Confined Water (Pool) : Program includes disclosed hours of training (varies per program please review program specifics). Most students complete all requirements within this time. Additional training, if needed, is billed at: $60/hour pool fee $200 instructor fee per additional session, per student. 

Open Water (Ocean)
Includes disclosed numbers of dives (varies per program please review program specifics). Most students complete these as scheduled. Additional dives, if required to meet standards, will incur an additional instructor fee of $200 per outing.

Note: Additional training is sometimes necessary and ensures all divers meet required skill and safety standards.


Transfers:
Transfer of Instructional Service/Programs (if needed):
While instructional services/programs are non-refundable, we allow transfers under the
follow guidelines:
-Notify us in advanced
-Provide details of new participant
-Ensure they meet all eligibility requirements
-Discuss any associated fees or changes (eLearning)
-Gear Requirements
-Additional costs if any classes were attended by original participant
-The original participant is responsible for coordination

Time Limitations for Training

Students have 1 year from the purchase and completion of their eLearning to complete the Confined Water Sessions. For instance, if the eLearning was completed more than a year ago, students will need to redo the eLearning course.

  • After completing the Confined Water Sessions, students have 1 year to complete their Open Water (Ocean) Dives. If there is a significant gap between the Confined Water Sessions and the Open Water Dives, students will be required to attend a Confined Water Review session before proceeding with the Ocean Dives. Please note that additional fees apply for this review session.

  • If more than a year has passed between completing the Confined Water Sessions and scheduling the Open Water Dives, students will need to redo the Confined Water portion of the program. These requirements are in accordance with PADI Standards.

  • If a student begins their Open Water Diver Program by enrolling in a scheduled pool session but does not attend subsequent sessions and wishes to complete the course at a later time, a fee will apply to re-enter that portion of the training if a significant amount of time has lapsed.

 

Private Classes:
In the event a student opts for a Private Class, Private Fees are an additional $200 per hour for the
instructor fee and $60 per hour for the pool fees per person. These are in addition to the course tuition. If
a student’s schedule becomes significantly more restrictive than initially agreed upon,such as changes to travel dates or availability, completion of training may require the addition of private lessons.


What if DiVE KS Cancels?
DiVE KS reserves the right to cancel or reschedule any session due to weather, safety concerns, ocean conditions, minimum number of students not met, unforeseen circumstances.Dive times and locations may change based on weather and marine conditions for safety. Student safety is always our top priority, and we will work to reschedule you as smoothly as possible based on availability. We will contact you via the phone number and/or email address provided in the reservation. We are not responsible if we can not contact you for important information regarding your class.
